Roster Management
View and manage department members, ranks, and Discord role sync.
The department roster is a live view of all members currently assigned to a department. It automatically syncs with Discord roles, so any member with the department's configured Discord role appears on the roster.
Viewing the Roster
The roster is accessible from the ERM Dashboard:
- Open your server's dashboard
- Navigate to Departments and select your department
- Click Roster
The roster shows each member's:
- Discord username and linked Roblox username
- Current rank within the department
- Total shift time (pulled from ERM's shift data)
- LOA / RA status
Rank Structure
Ranks define the hierarchy within a department. Each rank is mapped to a Discord role, and ERM determines a member's rank by checking which rank roles they have in Discord.
Adding Ranks
- In the dashboard, go to your department's Settings
- Click Ranks
- Add each rank with a name, Discord role, and optional permissions
Ranks are ordered from lowest to highest. Members with multiple rank roles will appear at the highest applicable rank.
Rank Permissions
Ranks can have department-level permissions:
| Permission | What it allows |
|---|---|
| View Roster | See the full department roster |
| Manage LOA/RA | Approve or deny leave requests |
| Issue Infractions | Write up department members |
| Manage Roster | Add/remove members, update ranks |
| Full Access | All of the above plus department settings |
Discord Role Sync
ERM automatically keeps the roster in sync with Discord roles. When:
- A member receives the department role → they are added to the roster
- A member's rank role changes → their roster rank updates
- A member loses the department role → they are removed from the roster
No manual roster editing is needed for membership changes made in Discord.
Roblox Account Linking
For activity tracking and shift data to appear on the roster, members must link their Roblox account using /link in Discord. Unlinked members will appear on the roster but will show no Roblox username or shift statistics.
